Terms of service

1. These terms

These terms govern your use of CarDealerOS, a software service supplied by CarDealerOS. By creating an account you accept them on behalf of your business. If you do not accept them, do not use the service.

2. Your subscription

The service is sold on a rolling monthly subscription. A valid payment card is required before your account is created; there is no free trial. Charges are quoted in pounds sterling and exclude VAT unless stated otherwise.

• Rooftops are licensed per month and priced on a graduated scale.
• Artificial intelligence usage is billed separately as a metered charge.
• Adding or removing rooftops mid-cycle adjusts your next invoice on a pro-rata basis.

3. Rooftops and acceptable use

A rooftop is a single physical trading location. Operating vehicles from more than one physical address under a single rooftop is a violation of these terms.

We monitor account activity for patterns consistent with undeclared trading locations. If we open a review we will tell you, explain what we have seen and give you the chance to respond or add rooftops. We will not suspend an account on an automated signal alone.

4. Non-payment

If a payment fails we retry for seven days. After that your account is marked past due and you cannot create new deals or invoices. After fourteen days the account becomes read only until payment is settled.

5. Your data

You own the data you put into the service. We process it to provide the service and in line with our privacy notice. You are the data controller for your customer records and are responsible for having a lawful basis to hold them.

6. Availability and support

We aim to keep the service available at all times but do not guarantee uninterrupted access. Planned maintenance is notified in advance where practical.

7. Liability

Nothing in these terms limits liability for death, personal injury or fraud. Subject to that, our total liability in any twelve-month period is limited to the fees you paid in that period. We are not liable for lost profits or lost business opportunities.

8. Ending the agreement

You may cancel at any time, effective at the end of your current billing period. We may end the agreement if you materially breach these terms and do not put it right within fourteen days of being asked.

9. Governing law

These terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction.
